Too many customer emails? Can an AI agent sort them and draft replies?

You open your inbox and see a question about a price, a request to book, and a message from someone who needs help with an old order. You answer the easy one first. Later, you realize the booking request is still there.

If this keeps happening, you may wonder: can an AI agent help with customer email?

It can help with part of the work. Start with a small job you can check. The agent can sort messages into a few groups and prepare draft replies. You still decide what to send.

What would the agent actually do?

Imagine one business inbox or folder. New messages go into three groups:

  1. New customer question — someone asks about a service or price.
  2. Booking or follow-up — someone wants a time or is waiting for an answer.
  3. Needs a person — a complaint, an unusual request, or a question the agent cannot answer from your approved information.

For a common question, the agent could suggest a reply based on your real service details, hours, and policies. You check the name, facts, tone, and recipient. Then you send it. If the agent is unsure, it should flag the message instead of guessing.

This is a workflow to test, not a promise that every email can be handled this way. OpenAI's agent guide describes sorting incoming work and drafting messages as possible patterns, with approval steps for actions that need a person. Existing tools can also help with drafts; for example, Google's Gmail help describes its “Help me write” feature for eligible accounts. What is available to you depends on your email system, plan, and permissions.

How do you start without making a mess?

First, choose one problem. Maybe booking questions are getting buried. Do not connect every inbox and every customer record on day one.

Next, write down your approved answers. What services do you offer? What can you say about price? Which questions always need you? If the answer is missing, the agent should ask or hand it to you.

Then, test with a few real examples that you are allowed to use. Check whether the groups make sense and whether the drafts are accurate. Keep customer information inside tools and accounts you have chosen for this job.

Keep the send button with a person. A wrong price, date, or recipient can cause more work than the draft saves. Review before sending, especially while the workflow is new.

Do you even need an agent?

Maybe not. If you only need to find booking emails, a label or filter might solve it. If customers ask the same question, a saved reply could be enough. Use the simpler fix when it works.

An agent becomes worth discussing when several steps need to work together: read a message, understand which type it is, look up approved business information, and prepare the next step for a person. The goal is a clearer inbox and a reliable reply process, not an inbox that runs itself.

Clawser sets up useful AI assistants starting at $500. The exact work depends on your email tools and what you want the assistant to handle. We can look at your current process and tell you whether an agent, a simple rule, or a saved reply makes more sense.
