You finish a good client call. Everyone says, “Sounds good.” Two days later, you are trying to remember who was going to send the file and when.

Before you leave the meeting, write down three things for each next step:

  • Who will do it?
  • What will they do?
  • When should it be done?

“Follow up with the client” is hard to act on. “Sam sends the revised quote to the client by Thursday” is clearer. A simple list is enough. You can use paper, a shared document, or a task tool your team already opens.

Send a short recap

After the call, send a short note with the decisions and next steps. Ask the other person to correct anything you missed. Put the same tasks where you will actually check them. The point is to make the next action visible, not to create another folder of notes nobody reads.

If you use a meeting tool that offers AI notes, tell participants what you plan to use and follow the consent rules that apply to your meeting. Then check the notes yourself. For example, Google Meet's note feature can include action items, but Google says summaries may be incomplete or inaccurate. A person still needs to confirm who promised what.

Keep the workflow small

Start with one kind of meeting. Use the same short recap each time. At the end of the week, check whether tasks were done, blocked, or forgotten. If the process helps, you can connect notes and tasks later.

Clawser can help you set up a simple follow-up workflow and, where it makes sense, an AI-assisted first draft of the recap. You choose what is shared and approve the final message.
